FAQ

Booking & planning

Do you book our reservations?

We make accommodation, transportation and activity reservations on your behalf — so everything is confirmed and vouchers are shared in one itinerary.

Do you book flights?

We recommend the best routes and fares in your itinerary. You can book them yourself or ask us to book them for you.

Where do you book travel to?

We lean on our founder’s expertise gained from traveling to 50 countries. However, if you’re interested in a destination that is not listed, we have partnerships worldwide with destination management companies (DMCs). You’re in good hands!

What is the Trip Plans app?

Your trip info at the tip of your fingertips. You will be able to view your itinerary, see photos, open map links, and access vouchers and documents all in one location. No need to print out vouchers or take screenshots because everything can be accessed offline. Check out a sample itinerary here: Austin by Travel Guru Destinations

How far in advance should I start planning?

Planning can start anywhere from 2 to 12 months before you travel. For trips within 1 month of departure, a $100 planning rush fee applies.

What do you need from me to get started?

Submit a travel request with your dates, number of travelers, budget, interests, and must-dos. We’ll follow up with any questions before we start planning.

How much does planning cost?

Planning fees are listed on each service page — custom itineraries and honeymoons start at $400. Cruises and hosted group trips have no planning fee.

Can I make changes to the itinerary?

If it’s a custom trip, we will make sure the trip is as envisioned before we start the booking process. Changes are not possible for hosted group trips because they have predetermined itineraries.

Where can I see past client reviews?

We proudly treat each trip as if it were our own. You can find reviews on Google, The Wedding Wire, and The Knot. Check out traveler reviews here!

Communication

How will we communicate?

Email is our main method of communication. Please expect a reply within 1-2 business days.

What if something goes wrong during my trip?

Your itinerary includes confirmation numbers and supplier contacts so you can resolve issues on the spot without having to navigate the time difference.

Do you plan trips in Spanish?

Yes. We plan and communicate in English or Spanish.

¿Hablas Español?

Sí, podemos planificar tu viaje con turoperadores hispanohablantes.

Payments & Cancellations

What is the cancellation policy?

Cancellation policies carry over from the tour operators and suppliers we book with. Hotels are booked with a flexible cancellation policy unless otherwise stated. Flight and train tickets are non-refundable.

Is the planning fee refundable?

Planning fees are non-refundable once your request is accepted.

How do I submit payment for my itinerary?

We will send an invoice with a payment link and/or collect a credit card authorization form.

Should I buy travel insurance?

We strongly recommend it. Travel insurance can cover cancellations, medical emergencies, delays, and lost luggage, and more. We can provide a recommendation for which insurance to buy.

Group Travel

How many people count as a group?

Custom group trips start at 20 travelers. Cruises and hosted group trips work for any size — even one traveler can join a hosted group departure.

Does each traveler pay separately?

On group trips, each traveler can pay separately. We track every reservation and share a roster with the group leader prior to the departure or upon request.

Why is there no planning fee for cruises and hosted group trips?

Cruise lines and tour operators compensate us directly for bookings, so planning is free for you with possible added perks — and you pay the same price as booking on your own!

What’s the difference between a custom and a hosted group trip?

A custom trip is private and built only for your group. A hosted trip is a shared departure with a set itinerary and other travelers, led by a host, so all you have to do is show up.

Before your Trip

Can I check in early to my hotel room?

Early check-in can be requested but is not guaranteed. If your room isn’t ready, hotels will store your luggage so you can start exploring right away

How do I stay connected abroad?

If your phone is unlocked, we recommend an eSIM. Check your phone’s eligibility for Airalo and use our code (SALMA4931) for a discount.

Will you send me a packing list?

You’ll receive a custom packing list for your trip. You can also shop our curated travel essentials!

Do I need a passport or a visa?

Your passport must be valid for at least 6 months beyond your travel dates. We’ll flag entry requirements for your destinations, but travelers are responsible for their own documents.
